The Challenge

CareWell Home Health Services provides skilled nursing and personal care to over 400 patients across rural and suburban communities in the Midwest. Their 65 caregivers deliver compassionate, high-quality care, but the administrative burden was becoming unsustainable.

Caregivers spent an average of 2 hours per day on documentation alone. After a full day of patient visits, they would sit in their cars or at kitchen tables, typing visit notes into the EMR system. The work was tedious, time-consuming, and often done unpaid after hours.

Scheduling was equally painful. The office coordinator juggled complex constraints: patient availability, caregiver skills and certifications, geographic coverage, and the constant disruptions of cancellations and emergencies. Missed visits and inefficient routes were costing the company revenue and frustrating everyone involved.

Our Solution

BnB Labs developed a two-part automation system addressing both documentation and scheduling challenges.

Voice-to-Documentation AI

We built a mobile application that lets caregivers dictate visit notes using natural speech. The AI processes the audio in real-time, transcribing and structuring the information into compliant documentation that matches CareWell's EMR format.

The system understands medical terminology and context. When a caregiver says "blood pressure was 140 over 85, up slightly from last week," the AI correctly categorizes the reading, flags the trend, and formats it for the clinical record.

Caregivers review the generated documentation on their phones, make any necessary edits, and submit directly to the EMR. What previously took 15-20 minutes per visit now takes 3-5 minutes.

Intelligent Scheduling Engine

We replaced the manual scheduling spreadsheet with an AI-powered system that optimizes assignments automatically. The engine considers:

  • Patient preferences and requirements
  • Caregiver certifications, skills, and patient relationships
  • Geographic optimization to minimize drive time
  • Workload balancing across the team
  • Historical patterns to predict cancellations

When changes happen, the system re-optimizes in real-time and notifies affected caregivers immediately.

The Results

After four months of operation, CareWell's metrics tell a compelling story.

60% reduction in documentation time: Caregivers now spend 45 minutes per day on paperwork instead of 2 hours. Most importantly, that time happens during the workday rather than unpaid overtime.

25% increase in visits per caregiver: With smarter scheduling and less administrative burden, each caregiver completes an average of 1.5 more visits per day. This translates directly to increased revenue without hiring additional staff.

99.8% compliance rate: Automated prompts ensure caregivers capture required information. Documentation completeness has improved dramatically, reducing claim denials and audit risk.

Caregiver satisfaction up significantly: The most important metric was the hardest to quantify. Exit interviews and quarterly surveys showed caregivers felt supported rather than burdened. Turnover dropped noticeably in the first year.

What's Next

CareWell is expanding their automation strategy to include predictive care insights.
